Automating Provider Intake for Health Tech Startup

🗒️ Background

For this project, a Los Angles based healthcare startup that helps users find niche health care providers for everything from plastic surgery, health spas, and digital health providers was looking for help improving their data infrastructure. They reached product-market fit and were looking to onboard thousands of new providers. This project was led by our Managing Partner, Derek Larson. Our solution saved hundreds of hours of manual work and enabled them to double their user base in less than a month.

🛠️ Challenge

The companies growth was outpacing their ability to efficiently onboard, and add new providers. Their current workflow left their team wasting hundreds of hours a month manually loading in new sign-ups, and managing data from providers. This was severely handicapping their ability to grow their provider base, causing unnecessary mistakes during the process, and taking their team away from higher-value projects. Not only this but after the data was loaded into their system, they were not able to update client data in bulk. Because of the complexity of their data and system, proposed off the shelf solutions such as Zapier did not work.

💡 Solution

The first step was assessing their current system, and understanding the bottlenecks that were making it difficult to update and add new data. From there, we moved all of their data into a new database and built custom infrastructure using Python and Heroku. The new system removes manual work spent loading in data, and tagging it previously done manually for each and every provider, and makes the process dynamically update, and trigger in bulk when new providers get added. This then pushes new and updated data to their website.

📊Results

The new data infrastructure saves hundreds of hours of manual work and enabled the company to double its user base in less than a month. The employee who was relieved of the work cried tears of joy, and could not thank us enough for helping make her life easier. She was then able to focus on higher-value work to drive new growth and improve their existing product.
